Dubsado 3.0 is rolling out with a cleaner layout, quicker pages and tools that make the daily admin load feel manageable. It is a full rebuild, so things will look very different the first time you log in. If you have landed here in panic mode because your dashboard has suddenly updated and your already full brain has no space left for change, take a breath and make a cup of tea. This is your no fluff guide to what has changed, what has stayed the same and how to take things at your own pace.

When it’s coming

If you’re wondering why you can’t see the new dashboard yet, it’s because Dubsado is rolling out 3.0 slowly to do their best to catch and fix bugs as they go. Once your account is ready, the update will happen on its own. You can still move between both versions at any time and your data stays synced in the background.

Learning a new setup can feel heavy when your week is already full. You are relearning where everything lives and getting used to an entirely new layout, so it’s perfectly normal to feel frustrated. For this reason, Dubsado 2.0 will stay in place until 2026, so you have loads of time to get familiar with 3.0 at your own pace.


The biggest changes at a glance

You will notice these updates straight away.

  • A new dashboard layout

  • New project views with more control and filter options

  • A proper inbox for emails

  • The scheduler and calendar have been rebuilt from scratch after sitting in Beta for time.

  • Flows (formerly known as Workflows) with much clearer steps and more visibility

A simple breakdown of what is new in Dubsado 3.0

The Dashboard



The new dashboard is one of the biggest upgrades in Dubsado 3.0 and it is probably the reason things feel a bit overwhelming at first, as this is where you land when you log in.

The good stuff: 

  • You can start any task straight from the dashboard in one click. Create a project, send an invoice or find a client. You can also use the shortcut by pressing ⌘K at any time

  • You can see your live conversions based on the proposals you have sent out

  • The Recently Visited and Recent Form Activity tabs are a big time saver, similar to how Canva or Google Docs show your recent work

  • The upcoming events list is such a clear way to see what is coming up

  • You can view any outstanding approvals in your workflows and tick them off in one go

  • You can hide features and change the order, so the dashboard works how you want it to


Inbox



  • The Inbox has a simple, familiar layout that makes it feel like a standard email inbox

  • You can thread messages and view them in a clean layout

  • You need fewer clicks to find what you are looking for

  • There is a detached composer so you can move between projects with your draft still open

  • You can schedule emails for any date and time without extra steps

  • You can reassign messages to the right project whenever you need

  • There is built in AI that can summarise long threads for a quick overview


Flows (formerly Workflows)



Flows now have a visual, node-based builder. You can see how each step connects, which makes complex automations easier to follow and build. You can also now review how everything works before turning it on. It feels much clearer and less guessy. I’m hoping this also paves the way for conditional logic in the future for Dubsado. 

The overall functionality is the same. The triggers themselves have not changed and there are no new triggers.


Calendar and scheduling



  • Your clients will get an automatic calendar invite (the time has come to remove the “Add this to calendar” in your canned emails.)

  • Calendar Invites update when clients rearrange

  • You can set recurring availability once and copy it to other schedulers

  • The layout feels simple and familiar a bit more like Calendly. 

  • The calendar has colour coded views so it is easier to read at a glance


Projects



This is one of the biggest changes to get used to and it takes a bit of time.

  • You can now switch between boards and list views, if you’ve used tooks like Asana/Airtable or Notion then this will feel quite familiar. 

  • The statuses are collapsible and you can hide the side bar for a full view

  • You have way more flexibility to show or hide columns you need.

  • You can recorder the view exactly how you want to see it. 

  • There is also a universal search feature which allows you to find stuff much more easily. 

Tip: If you have a lot of clients, the list view may work better for now as the board view can take up more space.


Invoicing



  • The invoices, payments, discounts and billing details in one place making it much more logical to find. 

  • You can now edit recurring invoices without turning them off

  • You can also edit invoice amounts or dates without stopping autopay

  • Time tracking is also available and has had a much-needed updated which can be automatically applied to an invoice.


What has stayed the same

  • Your data is safe

  • Your projects and forms are still there

  • The form builder has not changed

  • Your automations still run

  • The update changes the layout, not the core of your system


Should you switch now?

Move when it suits your energy levels.

You might switch now if

  • You enjoy trying new tools

  • You want to get used to the changes early

  • Small glitches do not bother you

You might wait if

  • You’re currently at capacity and do not have the time or energy to jump on board 3.0 which is totally fine and 2.0 isn’t going anywhere.  

  • You want to wait until bugs are fixed so things feel stable

You can also test 3.0 with a sample project and keep client work in 2.0. This is a safe way to learn without any risk.
